The files contain: application and supporting documentation; maps; plans; aerial photos; Board submission; financial documentation including statements of liabilities and assets, mortgage agreements and assessments of income; official valuations of liabilities and assets including valuer’s survey (detailing location, access, physical description including topography and soil types, land classification, condition of equipment, fences etc.), basis causes of applicant’s situation, capital requirements and real estate agents’ valuations; title search documents; copies of certificates of title; Board decision; breakdown of how assistance would be spent; terms of loan/repayment; insurance documentation; correspondence between Board, the Rural Bank, applicant and solicitors; request for discharge of securities; and settlement documentation. The files are maintained by a series of alphabetical index cards which have been subject to different methods of management over the years and are consequently incomplete.
