VPRS 9692 General Correspondence Files, Multiple Number System

Full description

The series consists of general correspondence files created by the Grain Elevators Board (VA 1057) from 1934 to 1986, with the exception of a number of litigation case files that continue to 1990.

The files contain inward and outward correspondence, reports and statistical information, and document all matters dealt with by the Boards administration and operating departments. The multiple number filing system under which these files were created was established circa 1970, but incorporated files and documents created from the formation of the Board. The series was succeeded by an alpha-numeric filing system implemented in 1986 (see General Correspondence Files, Alpha-Numeric System, VPRS 9694). Files relating to certain routine functions (for example, building maintenance) were culled from the series.

The series includes files relating to the following functions:

Administration and Stock Control

Correspondence and reports relating to the general operations of the Board including liaison with state and Commonwealth government agencies and related bodies, relevant legislation, participation in trade associations, labor relations, and contracts and agreements. Also includes correspondence and reports relating to the receipt of grains into the system, standards of quality, supply management, and the use of pesticides and other methods of pest control.

Operation of Elevators

Correspondence regarding the operation of country and terminal elevators including policy and procedure documents, records relating to the storage and shipment of grains, and the maintenance of facilities.

Engineering

Correspondence, reports and contracts relating to the construction or upgrading of grain handling facilities including country and terminal elevators, maintenance of equipment, and the provision of consulting services to other agencies or governments.
