Nothing is known about the original filing system for the correspondence. There is no known register or index from the period in which the correspondence was recorded.  Some of the correspondence and ‘other holdings’ were not identified as being of permanent value and were not transferred to the Public Record Office. The series comprises an index to the General Correspondence (VPRS 18825) of the Queen Victoria Medical Centre (VA 1254).

This index was compiled circa 1992 by the Monash Medical Centre (VA 2823). The Index was described as a 'box list', and used as a key to accessing the correspondence and ‘other holdings’ of the Queen Victoria Medical Centre (VA 1254). Other holdings listed include: plaques, medals, photographs, uniforms, portraits, prints, flags and dinnerware.
